We’re Hiring! Join Our Team as a Project Coordinator based in Southern California
The California Construction Authority (CCA) is seeking an experienced Project Coordinator to support our Southern California project portfolio. Reporting to the Executive Officer, this role offers a unique opportunity to make an impact on capital improvement projects and the ongoing expansion of construction initiatives across California’s 74 fairgrounds and event centers.
This is a journey level classification that assists the professional staff and is responsible for the more complex secretarial, clerical, and administrative work relating to construction projects. Incumbents are also expected to independently accomplish duties that involve exercising sound decision making and proper judgment. This class is distinguished from the Office Assistant in that the duties relate specifically to construction and contract compliance activities. ¬
Examples of Duties:
a) Serves as a liaison to the client fairs, communicates on a regular basis, answers questions and provides customer service.
b) Prepares various solicitations, contracts, agreements, and construction documentation associated with the contracting process.
c) Assists in coordinating the efforts of all entities involved in construction projects from design to closeout, including architects, engineers, consultants, contractors, subcontractors, laborers, inspectors, administration staff, etc.
d) Compiles project financial data and prepares financial reports and analyses.
e) Maintains master construction files for each project, including agreements, contracts, drawings, logs, and insurance certificates.
f) Initiates, prepares and maintains agreement forms for contractors and other professional service companies and/or regulatory agencies.
g) Works with contracted personnel including labor compliance officers, inspectors, and other CCA staff involved in construction projects.
h) Assists with progress updates and informational notices.
i) Participates in the development and implementation of project reporting systems.
j) Performs tasks using software related to budgeting and scheduling, including databases, automated accounting systems, spreadsheets and word processing.
k) Maintains appropriate review of prevailing wage reports, contractor invoices, change orders and/or work orders, respond to requests for certified payroll.
l) Occasionally represents CCA in project meetings.
m) Takes meeting minutes as requested.
n) Responds to public records requests.
o) Perform additional assignments and duties as needed.
