The City of Thousand Oaks is seeking a collaborative, proactive, organized, and self-motivated Construction Project Coordinator to oversee the construction of City facility capital projects! This position will be a member of the Finance Department’s Facilities Division which is responsible for the maintenance and upkeep of various City buildings and infrastructure.
Under the general supervision and direction of the Facilities Manager, the Construction Project Coordinator will have the responsibility for the research, planning, design, and construction of capital projects. Examples of current projects include Fire System Upgrades at Various Facilities, Prefabricated Solar System at Various City Facilities, and Municipal Service Center Emergency Power Upgrades.
Primary Responsibilities:
This position will perform daily administrative tasks and services to facilitate work for the Facilities Division based on the following criteria:
- Effectively manage competing demands, meet deadlines, and coordinate with cross-functional teams.
- Manage the work of consultants and contractors, and interface and negotiate with professional, technical, permitting, and managerial stakeholders.
- Review, prepare or direct the preparation of complex plans, specifications and legal contracts.
- Prepare requests for proposal packages for architectural, engineering, construction, and service contracts.
- Conduct entire bid process and recommend awards based on responsiveness and responsibility.
- Coordinate project activities with end users, architects, and engineering firms; provide complete design reviews at various stages of projects, and coordinate with other City staff, departments, and regulatory agencies, as appropriate.
- Direct and coordinate construction work during project progress; conduct project site visits, attend construction meetings, and prepare detailed written correspondence to ensure strict compliance with contract specifications, drawings, and safety requirements; interpret contract documents; review/approve submittals and progress payments during project.
- Provide detailed reviews and negotiations for proposed change orders; control costs through thorough preparation and early resolution of problems.
- Prepare and evaluate engineering studies of large projects; evaluate alternatives and recommend effective course of action.
- Participate in the preparation and administration of assigned budget, submit budget recommendations, and monitor expenditures.
- Be adaptive to various project needs and changing priorities. |
Requirements (Education, Certifications, Level of Experience) |
The successful candidate should possess:
- Knowledge of theory and principles of architectural design and/or structural engineering design and construction practices.
- Effective project management and evaluation skills including daily organization of project calendars, meeting schedules, and project document oversight.
- Knowledge of modern techniques and equipment used in the design, construction, and maintenance of construction projects.
- Methods and techniques of effective public relations.
- Knowledge of pertinent federal, state, and local laws, codes, and safety regulations.
- Ability to prepare clear and concise reports, schedules, drawings, maps, meeting notes, correspondence, and other written materials.
- Ability to work under steady pressure with frequent interruptions.
- Ability to communicate clearly and concisely, both orally and in writing.
- Establish and maintain effective working relationships with those contacted in the course of work
- A valid Class C California driver’s license.
Education/Experience: A combination of education and experience that would provide the required knowledge and abilities such as a Bachelor’s degree from an accredited college or university with a major in engineering, architecture, or a related field; and/or five years of responsible professional construction project management experience, including experience in municipal design and construction activities. |
